The Covid period has brought lasting changes in the world of coproperty. General assemblies were held remotely and in the era of teleworking, many co-owners no longer wish to go back.
For the syndicates, who used systems such as agconnect, 65% of assemblies were held during the day, with shorter durations thanks to the automatic entry of votes in particular, and a higher participation rate, which is also considerable progress.
Today, even if sanitary constraints are no longer the same, videoconference general assemblies continue. But we have gradually moved from 100% video meetings to hybrid assemblies, mixing in-person and distance participation, in addition to postal voting and procurations.
And agconnect happens to be managing all these different participation modes in one single tool!
We have seen in previous articles the technical criteria to consider to ensure the success of your hybrid GA, as well as the choice of equipment to use.
Now, here are some tips directed specifically to the manager, regarding their role in the success of the Hybrid GA.
What will be the "technical" work of the manager?
- The manager will of course have to take care of the ''manager'' part, the votes, the debates, the proxies during the session, the drafting of the minutes and its electronic signature at the end (if you wish to finalize it the same day)
- If there are more than 40 remote participants, he will also have to manage their speaking (authorize the speaker's camera-microphone). It can be managed very well on assemblies of up to 50 or 100 co-owners, and even beyond.
- However, from 50 remote participants, or in the presence of certain "delicate" co-owners, the chat will be used more and it may be good to provide an assistance person to moderate it (i.e. make public the useful interventions and not the others). Note that this chat can also be deactivated, which is not recommended if you do not open the microphones and cameras of all remote people. And even then, you'll find that chat conversations are more about simple approvals or questions, while video chats are usually more advanced or technical. These are therefore two complementary uses that go together to make the debates more fluid.
- Remember that you can have an assembly of 50 people with 3 remote people, but also with 45 remote people. The co-owners being invited in advance to define their mode of participation, you will generally have an idea of the type of meeting you are going to hold several days before, and you can then either provide a second person for assistance, or provide assistance via the agconnect team which is available from 9 a.m. to 10 p.m. (French time) from Monday to Thursday and until 6 p.m. on Friday.
